Stellaris Ridge is an AI marketing and automation agency based in Tuscaloosa, Alabama. This Privacy Policy explains what information we collect when you contact us by phone, text, web form, or AI receptionist, how we use that information, and the choices you have.
When this Policy says “we,” “us,” or “our,” it means Stellaris Ridge. When it says “you,” it means the person interacting with us.

We collect only what we need to respond to you and deliver the services you request.

- Call audio recordings and transcripts of the conversation
- Time, duration, and routing metadata for each call
From web forms and chat
- Your name, email, phone, and message content
- Any other information you choose to share
From browsing our site
- Standard server logs (IP address, user agent, referrer)
- Cookies used for the chat widget and analytics; see Cookies below
3. How we use it
- To respond to your inquiry and schedule consultations
- To send appointment confirmations, reminders, and rescheduling notices via SMS or email when you request them
- To deliver services you have hired us for
- To improve our AI receptionist's accuracy by reviewing call recordings and transcripts
- To comply with legal obligations
We do not use your information for unrelated marketing or sell it to third parties for marketing.
4. SMS messaging program
When you call Stellaris Ridge and verbally provide a phone number for appointment confirmation, you consent to receive transactional text messages from us at that number for the purpose of managing your appointment. This consent is captured in the call recording.
Program name: Stellaris Ridge Appointment Notifications
Message types: appointment confirmations, reminders, rescheduling notices, missed-confirmation follow-ups.
Message frequency: up to four (4) messages per appointment cycle.
Cost: message and data rates may apply, charged by your wireless carrier. Stellaris Ridge does not charge you for these messages.
Help: reply HELP to any message for support, or email [email protected].
Opt out: reply STOP to any message at any time. You will receive a confirmation, and no further messages will be sent for that appointment cycle. You can also revoke consent by emailing us or calling +1 (205) 831-8876.
We do not share your phone number, opt-in status, or message content with third parties for marketing. Your phone number is used only for the purpose for which you provided it.
5. Cookies and analytics
Our website uses cookies to remember chat widget state and to measure aggregate traffic. We do not use cookies for cross-site advertising. You can disable cookies in your browser at any time; some site features may not work fully without them.
6. Sharing
We share information only with service providers we use to operate the business, and only to the extent necessary:
- Twilio (telephony and SMS delivery)
- ElevenLabs (AI receptionist runtime)
- Google Cloud (hosting and infrastructure)
- GoHighLevel (CRM and calendar)
Each of these providers handles your information under their own contractual privacy obligations. We do not sell your information.
We may disclose information if required by law, valid legal process, or to protect the safety of our team or our customers.
7. Your rights
You can ask us at any time to:
- See what information we have about you
- Correct it if it's wrong
- Delete it
- Stop using it for any specific purpose (including SMS — see section 4)
California residents have additional rights under the CCPA. EU and UK residents have rights under the GDPR. We honor those rights in the same way regardless of where you live. Email [email protected] with the subject “Privacy Request” and we will respond within 30 days.
8. How long we keep your information
- Call recordings and transcripts: 12 months from the date of the call.
- Appointment data and contact records: as long as the relationship is active, plus 24 months.
- SMS opt-in evidence: as long as we send you messages, plus 12 months.
You can ask us to delete sooner; see section 7.
9. Security
We use industry-standard encryption in transit and at rest, role-based access control on internal systems, and audit logging. No system is perfectly secure; if we ever discover a breach affecting your information, we will notify you in accordance with applicable law.
10. Children
Our services are intended for businesses and adults. We do not knowingly collect information from children under 13. If you believe we have, please contact us and we will delete it.
11. Changes to this policy
We may update this Policy from time to time. The “Last updated” date at the top will reflect the most recent change. Material changes will be announced on our website. Continued use after a change means you accept it.
